Registration Information

^: Exhibitors will have access to exhibition hall only

*: Trade delegates can be any exhibitor who wishes to attend the scientific sessions, where an exhibitor with a normal exhibitor badge would be denied access. If exhibitor would like to purchase trade delegates badge, please email us at secretariat@apvrs.org. 

#: An accompanying person can only enter the Exhibition Hall with no access to the scientific sessions. Each delegate can purchase a maximum of 2 Accompanying Person Badges in total (1 x 1st Accompanying Person Badge + 1 x 2nd Accompanying Person Badge).

Early bird and advance discounted advance rates are only applicable to payments made on or before the deadlines specified.

Individual Registration

For the APVRS 2024, registration payments will be accepted through our congress system starting on April 5, 2024. To avoid system traffic congestion, delegates are strongly encouraged to register as soon as possible. You may view the guidelines for registration here.

Group Registration

For registrations of more than 5 delegates, please complete and return the group registration form to the APVRS secretariat at registration@apvrs.org. The deadline for group registration is October 11, 2024. For local group registrations, please directly contact secretariat@apvrs.org for a special registration rate.

Remarks

Kindly note that the registration is completed only when the registration fee has been settled. During the payment process, Stripe may need time to verify your transaction, which will take up to 72 hours. To enjoy the congress to the fullest, please reserve time accordingly.

If you need an official invitation letter for visa application, please register and download the letter via the congress system. The congress system will be closed from November 15, 2024. Delegates who would like to do registration after November 15 will need to do on-site registration.

Data Privacy

Personal information collected through the system will be used solely for the APVRS 2024. No personal data will be disclosed to third parties by the Organiser.

The Registration and Abstract Submission System has 128-bit SSL encryption on all pages that handle sensitive information.

APVRS respects your right to privacy and complies with its obligations under the General Data Protection Regulation (GDPR) .

In practical terms, the information we collect from you may be used in one or more of the following ways: attendance report, congress registration, payment processing, and communications.

We will take all reasonable steps to guarantee the safety of the data you provide to us and we will only use the data for the intended purpose. However, the nature of the internet is such that we cannot guarantee or warrant the security of any information you transmit to us via the Internet will be 100% secure.

We do not disclose your personal data to outside parties except as set out in this policy.

We may share your personal data where you have given permission. For instance, if you attend an industry sponsored event at the Congress and allow your badge to be scanned, this will be taken as consent to share your contact details with the sponsor concerned so that they can follow up with you directly.

We also reserve the right to enforce our site policies in order to protect our rights and the rights of other individuals in a manner that is safe and compliant with the law.

Non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses. For example, we may disclose the total number of visits to our website.

Online Payment Security

All online transactions are processed by Stripe, with protection of Secure Socket Layer (SSL) and support of Verified by Credit Card secure code. Payment details are encrypted under the SSL protocol and transmitted directly to the relevant bank for payment approval and settlement. The Organiser does not collect any credit card information submitted for online payment.

Cancellation Policy

To cancel your registration, a written request stating your full name and registered email address must be sent to the APVRS 2024 Secretariat by email at registration@apvrs.org.

Cancellations received in writing to the Congress Secretariat by October 18, 2024, will be accepted and registration fees will be fully refunded. For written requests received by November 8, 2024, your registration fee will be refunded less an administrative fee of US$50 per person, per meeting. The refund, after deducting the administrative fee, will be processed after the Congress only.

No refunds will be given for cancellations made after November 8, 2024, or non-attendance at the Congress.
